Job Purpose: 

  • Reporting to the head of program management within U.S. Funds Management Marketing, the marketing webcast coordinator will be responsible for the planning, measurement and execution of all audio calls, webcasts, and videocasts across the Funds Management, Institutional and Retirement businesses
  • This will include managing the calendar of digital events, tracking speaker and event logistics, and ensuring the right communication strategy is in place with key stakeholders
  • This person will also have the ability to impact best practices across LOBs and partner with key vendors to implement new and innovative tools into our digital events strategy
  • In addition, as part of the IMA program management team, he/she will also support in-person client outreach programs across businesses including speaker and content management as well as assist with key deliverables for industry sponsorships
  • This role serves a critical function within our distribution strategy and will provide visibility across all product and marketing.

Your Responsibilities:

  • Manage end-to-end execution of digital events including planning, set-up, delivery and measurement
  • Manage full calendar and coordinate appropriately between groups; act as central point of contact for all scheduling and changes and address issues with appropriate senior management and marketing teams
  • Consistently meet project timelines and deliver flawlessly executed multimedia events
  • Keep all key stakeholders up to date throughout project life-cycle: pre-event, live-event, and post-event
  • Work with Marketing Directors to ensure an overall cohesive client experience
  • Work with CRM team to build post-meeting and quarterly reporting (attendee feedback, ongoing tracking of activity and sales)
  • Manage all vendor relationships including Brightalk and Verizon
  • Rapidly solve problems and make quick decisions during the production of live events
  • Support program management team with managing speakers and content for in-person events including setting up session prep calls, managing content submission to design/compliance, and updating event communication for distribution to the sales team
  • Support program management team with key deliverables for industry sponsorships including booth management, conference attendee reporting, and post event measurement
  • Assist with global digital events, when needed.

Skills and Qualifications:

  • Ability to meet deadlines on a consistent basis
  • 2-5 years of work experience in a deadline driven environment (experience producing webcasts or working with digital media strongly preferred)
  • Project Management experience
  • Excellent organizational, planning, management and communication skills
  • The ability to work effectively with all levels of the organization to complete assigned projects within the needed deadline
  • Ability to service clients with a “can-do” attitude and a vested interest in the success of their projects
  • Adaptable to changes in the work environment and able to deal with delays or unexpected roadblocks
  • Passionate around digital innovation
  • Bachelor’s degree or higher, preferably in a marketing related discipline.
